Privacy Policy
Effective and last updated: August 27, 2026
1. Scope and controller
This Privacy Policy explains how Lotus Cloud, Inc. (“Lotus Cloud,” “we,” “us,” or “our”) collects, uses, discloses, protects, and retains personal information through lotuscloud.ai, PADMA™, PADMA™ Legal Intelligence, related demonstrations, pilot programs, and business communications. Product-specific notices may supplement this Policy.
2. Information we collect
We may collect identifiers and professional information you provide, including your name, business email, organization, role, country, firm or legal-team size, optional telephone number, areas of interest, consent choices, and correspondence. We may also receive basic technical and security information such as IP address, device/browser data, timestamps, access logs, and cookie or session identifiers.
3. Information not requested
Do not submit client files, case facts, legal advice, privileged or confidential material, government identifiers, payment-card data, health information, or sensitive personal data through a demonstration-access form. The public PADMA Legal experience uses fictional legal data only.
4. Why we use information
We use information to respond to inquiries; verify a business email; provide and administer demonstrations or pilots; contact you with consent; manage access, security, fraud prevention, and audit records; improve our services; comply with law; and establish, exercise, or defend legal claims. Where applicable, our legal bases may include consent, steps requested before a contract, performance of a contract, legitimate interests, and legal obligations.
5. Communications and text messages
Email contact consent is recorded with each request. Text-message consent is optional and recorded separately. Consent to texts is not a condition of purchase. Message and data rates may apply. You may opt out of marketing email through its unsubscribe mechanism and may reply STOP to supported text messages. Operational or legally required notices may still be sent where permitted.
6. Disclosure
We may disclose information to authorized Lotus Cloud personnel and service providers that support hosting, security, authentication, communications, analytics, customer support, and business operations under appropriate obligations. We may also disclose information when required by law, to protect rights and safety, during a corporate transaction, or at your direction. We do not sell personal information for money. If our practices change in a way that creates an applicable sale, sharing, or targeted-advertising opt-out right, we will provide the required controls before that processing.
7. International processing
Lotus Cloud operates internationally. Information may be processed in countries other than your own, subject to applicable contractual, organizational, and technical safeguards and legally recognized transfer mechanisms where required.
8. Retention
We retain lead and business-contact records only as long as reasonably necessary for follow-up, pilot administration, security, audit, dispute resolution, and legal compliance. We periodically review inactive records and delete or de-identify them according to an approved retention schedule, subject to legal holds and required records.
9. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No transmission or storage system is completely secure. Access to lead information is limited to authorized personnel according to role and business need.
10. Your choices and rights
Depending on where you live, you may have rights to request access, correction, deletion, portability, or restriction; withdraw consent; opt out of certain processing; appeal a denied request; or lodge a complaint with a regulator. We may verify your identity and authority before acting. We will not unlawfully discriminate against you for exercising privacy rights.
11. Cookies and session technologies
We may use strictly necessary cookies or similar technologies for security, access control, preferences, and service operation. If we introduce non-essential analytics or advertising technologies that require consent, we will provide appropriate notice and choices before using them.
12. Children
Our business services are not directed to children under 18, and we do not knowingly collect their personal information through PADMA Legal demonstration-access forms.
13. Changes
We may update this Policy to reflect changes in our practices or law. We will post the revised date and provide additional notice when required.
14. Contact and privacy requests
Email privacy@lotuscloud.ai with “Privacy Request” in the subject line. Describe your request and jurisdiction. Do not email privileged client material or sensitive identity documents unless we provide a secure method.
This operational policy should be reviewed by qualified privacy counsel before broader commercial rollout or material expansion of data processing.
